Access Hancock County Records

A Hancock County court record search starts with the Clerk of Courts, the office that keeps the official files. The docket is only the timeline. Digging deeper can turn up pleadings, orders, judgments, notices, and other papers sitting in the case file itself. Some of that material is open to the public online, some can be requested from the clerk, viewed at the courthouse, or ordered by mail. Indiana access rules do limit certain files and certain online documents, so expect gaps. Public case information is handy for locating a matter in Hancock County. For certified copies, older material, or current financial details, the clerk remains the source.

Getting Hancock County Court Records

Start with Indiana MyCase for public, nonconfidential case information. Search by cause number, citation, cross-reference, party, or attorney, and choose Hancock County. Open the CCS to find permitted document links. A missing PDF does not prove the document is sealed or absent. Online access varies by case code and viewer type.

For the official file, contact the Hancock County Clerk of Courts. The counter is in Room 213, 9 East Main Street, Greenfield, IN 46140. County hours are Monday through Friday, 8:00 a.m. to 4:00 p.m.; phone 317-477-1109. Ask in person, call for page count, or mail the Request for Information form. County instructions do not list email as a court filing channel.

  1. Locate the cause number in MyCase if possible.
  2. Describe the record with reasonable particularity.
  3. Choose online viewing, counter service, phone help, or mail.
  4. Confirm page count, copy type, payment, and delivery terms.
  5. Receive a plain, microfilm, or certified copy.

Hancock County Request Form

The Public Records Request page directs users to a form, not a second county search portal. It records the request date and time, method, delivery choice, requester details, and the record sought. The description must be specific enough for staff to identify the item.

Mail the form, money order, and self-addressed stamped envelope to Hancock County Clerk, Public Access Department, 9 East Main Street, Room 213, Greenfield, IN 46140. Call first for the page count and total. Online payment may be possible after the office provides directions.

Hancock County Court Record Types

One unified Clerk’s Office keeps records for Circuit Court, Superior Court 1, and Superior Court 2. Its custody spans criminal, civil, probate, domestic-relations, juvenile, small-claims, infraction, ordinance, and traffic cases. Public access depends on case type and Indiana rules.

  • Chronological Case Summary entries and case headers
  • Pleadings, motions, notices, and service records
  • Orders, judgments, and disposition documents
  • Public setting and hearing information
  • Archived paper or microfilm material when retained

MyCase PDF Versus Clerk Copy

A MyCase download is a convenient public-access copy. It is not automatically a certified court record. Certification is the Clerk’s formal attestation that the copy matches the maintained record. A plain Clerk copy and a microfilm copy are distinct options.

Inside a Hancock County Court Record

A case file can hold more than its result row. The file date is not a hearing date, and status is not the final order. The CCS links the sequence of events.

Cause NumberCourt, filing month, type code, and sequence
PleadingsPetitions, motions, answers, and service papers
Orders & JudgmentsSigned court rulings and disposition records
CCSDated filings, notices, settings, and orders
ExhibitsFiled evidence, subject to access and retention rules

Older Hancock County Records

Hancock’s active courts entered Odyssey on April 1, 2013. MyCase also contains converted events from prior systems. A converted event may reflect migration, not a new filing. Older documents can remain on paper or microfilm even if an event is indexed online.

Ask the Clerk to check retained material when no image appears. The former county court identifier 30E01 is abolished, so older cause numbers may not resemble a current assignment. Local evidence rules and retention schedules can affect whether an exhibit still exists.

Fees and Certified Copies

The Hancock Court Information page lists copy amounts. Confirm the total before sending money because the page count controls the base cost. Filing fees are separate and can change.

Hancock County Local Rules

The Indiana local rules index supplied the successful assigned image.

Hancock County court record search local rules

The index leads to approved Hancock procedure, including allocation and evidence-handling provisions. Rules add context but do not replace the case file or CCS.

The September 2025 order approved a revised allocation effective January 1, 2026. A different assigned court can reflect that plan rather than a missing record. Search the cause number’s current court identifier and ask the Clerk about any transfer.

Sealed Records and Public Access

The Indiana Access to Court Records Rules, updated effective July 1, 2026, govern access. Juvenile, paternity, sealed, expunged, and other confidential material may be absent or limited. Courthouse access does not remove those restrictions.

Key rule: Online absence is not an access ruling. Ask the maintaining court or Clerk whether the record exists and what process applies.

A party seeking a restricted Hancock file should bring photo ID. If unable to appear, county instructions call for a notarized photo-ID copy with a raised seal. Court approval may still be needed. Clerk staff cannot give legal advice or override a sealing order.

Missing Hancock County Documents

Confirm that the cause number belongs to Circuit, Superior 1, or Superior 2. Next check the MyCase access matrix for the case code and public audience. If the CCS lists a filing without a link, give Public Access the event date and title.

Use phone or counter service for a current balance. Use the mail route for copies when a visit is not practical. The Clerk fax number, 317-477-1163, is a contact and permitted filing channel, not a promise that access or a deadline changes.

Note: The court controls sealed access and judicial action, while the unified Clerk keeps and copies the Hancock County record.

Hancock County Record Custody

Hancock uses one Clerk’s Office for all three trial courts. A request does not go to a separate criminal, civil, probate, or traffic clerk. The elected Clerk serves Circuit Court, Superior Court 1, and Superior Court 2 and keeps each court’s records. The judge and court control judicial action, calendars, sealing decisions, and orders. This division explains why Public Access can copy an existing filing but may not predict when the court will rule.

Cause numbers help the office route a request. 30C01 identifies Circuit Court, while 30D01 and 30D02 identify Superior Courts 1 and 2. Include the full number, document title, CCS event date when known, and desired copy type. A party requesting restricted material should also ask what identification or court authority is needed.

Hancock County Balance Checks

MyCase financial fields can show assessments, credits, payments, and an amount due, but the state warns that online financial information may not be current. Interest, later charges, or a recent payment can change the figure. Call the Clerk before sending funds or using the balance in a filing.

The same rule applies when a record request and a case payment overlap. Copy fees pay for the requested pages and certification. They do not settle a judgment, fine, or filing obligation. Ask staff to identify each amount and the accepted payment route so the funds reach the correct account.

Hancock County Transcript Requests

A transcript is different from the CCS and from an ordinary copy of a filed document. The CCS records that a hearing occurred and may link an order, while a transcript reproduces the spoken proceeding from the official record. Judicial District 17’s approved rule lists an $8-per-page transcript rate for Hancock, Johnson, and Shelby Counties.

Identify the court, cause number, hearing date, and proceeding before asking for a transcript. Confirm the request process, estimated pages, timing, and payment with the court or reporter. Do not order a stack of docket pages when the needed item is the hearing transcript, and do not assume the online case summary contains one.
